In short: We collect only what you send us and what the website needs to run: your enquiry details, the documents you share for a shipment, and basic visit statistics. We use it to answer you and handle your cargo, we never sell it, and you can ask us to correct or erase it.
1. Who we are
This website, rpinternational.net, is run by RP International, a customs clearance and freight forwarding business with its registered office at First Floor, Plot No 73, Office No 1, Ward 5B, Gandhidham, Kachchh, Gujarat 370205. In this policy, "we", "us" and "our" mean RP International, and "you" means anyone who visits the website or contacts us through it.
For your personal data, we are the Data Fiduciary under India's Digital Personal Data Protection Act, 2023 (the "DPDP Act").
2. What we collect
| Where it comes from | What we collect | Why |
|---|---|---|
| Quote, contact, enquiry and callback forms | Name, company, phone, email, service, port, commodity, your message, the date and time you'd like a call, and the page you sent it from. For spam protection: your IP address, its approximate location, and your device and browser type | To reply to you and prepare a quote |
| Phone, WhatsApp and email | What you tell us or send us, including shipping documents | To answer your question or handle your shipment |
| Clicks on call, WhatsApp, email and map links | Which link was clicked, the page it was on, device and browser type, your IP address and its approximate location | To know which pages bring enquiries, and to follow up on calls we may have missed |
| Website visits (analytics) | Pages viewed, device and browser type, approximate location from your IP address, the site that referred you, and how you scroll, click and move through a page | To see which pages help visitors, and fix the ones that don't |
| Server logs | IP address, date and time, page requested, browser | Security and troubleshooting |
Shipping documents can carry other people's details, such as a consignee's or supplier's name and address. Share them with us only when you are entitled to.
3. How we use it
- To reply to your enquiry and send you rates and a document list.
- To provide the services you instruct us to provide, such as customs clearance, freight forwarding, warehousing or transport.
- To keep the records that customs, tax and other laws require of a customs broker and forwarder.
- To understand how the website is used and improve it.
- To keep the website and our systems secure.
We process your data on the basis of the consent you give when you contact us, and, where the law allows it, for legitimate uses such as meeting a legal obligation. We do not sell your personal data, and we do not add you to marketing lists without asking.
4. Who we share it with
- Service providers who work for us: our website host, the email service that delivers form enquiries to us and your copy to you, our analytics providers (Google Analytics and Google Tag Manager, and Microsoft Clarity), a spam-protection service (Google reCAPTCHA) that checks form submissions, IP lookup services (ipify and ipinfo.io) that tell us a visitor's IP address and approximate location, our lead-management system that records enquiries and link clicks, and Cloudflare's library server, which delivers the phone-number country picker on our forms. They process data only on our instructions or under their own privacy terms.
- Parties needed to move your cargo, when you instruct us to: customs authorities, shipping lines, airlines, container freight stations, port operators, transporters and overseas agents, only the details each one needs.
- Authorities, when the law requires it: for example, in response to a lawful request from customs or a court.
If you message us on WhatsApp, the message also passes through WhatsApp (Meta), under its own privacy policy.
5. Cookies and analytics
The website doesn't need cookies to work. We use Google Analytics 4, loaded through Google Tag Manager, to measure visits, and it sets cookies (such as _ga) that count visits without identifying you by name. We also use Microsoft Clarity, which records how visitors scroll, click and move through a page so we can see where a page is hard to use. It sets its own cookies (such as _clck and _clsk) and hides what you type into form fields. The website's fonts are loaded from Google Fonts, so your browser shares your IP address with Google when it loads them. The map on the contact page is embedded from Google Maps, which may set its own cookies when it loads.
If a form can't be sent, your browser keeps what you typed for that tab only (session storage), so you don't have to type it again. It is cleared when your enquiry goes through or you close the tab.
You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with Google's browser add-on. Blocking cookies also stops Clarity linking your visits together. The website still works if you do.
6. How long we keep it
- Enquiries that don't become shipments: up to 3 years from our last contact with you, then deleted.
- Spam-protection records: the IP address and time of each form submission for up to 48 hours; records of blocked submissions for up to 12 months.
- Shipment records and documents: as long as customs, tax and other laws require us to keep them.
- Analytics data: 14 months, the setting in our Google Analytics account. Microsoft Clarity keeps its recordings for up to 30 days, plus any we mark to keep, which it keeps for 13 months.
7. Security
The website runs over an encrypted (HTTPS) connection, and access to enquiries and documents is limited to the people who need them. No system is completely secure. If a breach affects your personal data, we will tell you and the Data Protection Board of India as the DPDP Act requires.
8. Your rights
Under the DPDP Act, you can:
- ask for a summary of the personal data we hold about you and how we use it;
- ask us to correct, complete or update it;
- ask us to erase it, unless the law requires us to keep it;
- withdraw your consent at any time (this doesn't affect what we did before you withdrew it);
- nominate someone to exercise these rights for you;
- raise a grievance with us, and if it isn't resolved, complain to the Data Protection Board of India.
To use any of these rights, email pricing@rpinternational.net or write to our grievance officer below.
